Referrals/Handouts
Representing a client goes beyond just giving advice. Often the help we provide by sending the client to another agency or providing them with written self-help materials is as useful to them as the advice we give.
(a) Referrals/Handouts is used to track which agency referrals and handouts we give clients.
(b) If you wish to refer the client to another agency or agencies, you must have first added agencies to your database. You could get a list of agencies in your area in digital form and have us help you import them. (Described in Other Agency)
(c) Agency Referral – Pulls up an Agencies Search screen that lists all of the agencies in your database that help people with the subject or problem code (Pcode) they have an issue with. Once you select an agency from the search, it will list the agency’s number in Agency 1 (or 2 or 3). If you wish to obtain further information on a particular agency,
- (i) Double click on the agency to open up the record OR
- (ii) Select an Agency and click on Open Intake to look at their record or click on Subject Detail to just look at the subjects they handle
- (iii) You can store up to three agencies to refer the client to by repeating this step
- (iv) You can also select the names of known agencies from the Agency 1, Agency 2, or Agency 3 pull downs
(d) Next, go to the Handouts section and select the documents you'd like to give or send to the client
(e) To generate a letter to the client summarizing the referrals and list of documents you are sending to help them:
- (i) Press Save/Stay
- (ii) Tap the Referral Letter button
- (iii) To add customized text to this form letter, type additional text into the box labeled “Text entered here will appear in the referral letter”.
Buttons at the top of the Agencies/Handouts form
(a) Save/Stay – Save this information and stay on this form
(b) Print – Print this form and the information in it
(c) Time – This button will take you to the Stop Watch Time Keeping form, wherein you can track the time spent on the Intake (Described in Time Keeping)
(d) Close – Saves the information and returns you to the menu system
