Duplicating, Deleting, or Modifying Form Letters

Form letters are easily edited through the Ribbon Bar. Go to the Admin choice and then select Letters/Forms. This choice allows you to edit or create new form letters. The ability to go to this choice is controlled by a user’s permissions, so if you can’t select these choices, contact your database administrator. It is possible to assign permission to a staff member to access Letters/Forms, but do nothing else on the Admin menu.

However, if you want to get rid of duplicate letters, implement a new sorting method, or do anything else in bulk, you need to look at the table directly. Go to the Navigation Pane on the left side of the screen and use the Search field to look for the FormsL table. Double click on it to open it up. Once open, you can:

  • Delete letters you don’t need or that were entered in error
  • Change the way letters are grouped by changing the FormsSort column
  • Modify the contents of the letters by writing a query

Delete a letter by clicking on it. An arrow points at the letter in the left margin. Then tap the Delete Key.

Form Letters are shared by everyone, so do not make modifications thinking that it will only affect your letters.
