This system allows the copying of existing client data with the option of also copying Eligibility and Case Notes. You can choose other values to substitute in the new record (e.g., problem code and advocate) so that the record will be created with that new information, making it immediately ready for use. If you have a need to duplicate only certain fields or want to duplicate fields beyond the Standard duplicate method, you can choose your own fields from the clients table by clicking on Select the Fields to Duplicate then clicking on the fields you want in the list that appears at the right.

a) There are 3 types of duplication; Standard, Custom, and Selective
1) Standard Duplication
i) Works like the duplicate system in previous versions of Prime
ii) Duplicates Intake Type, Case Type, Name, Complete Address, County, Phone, SSN, Birthdate, Gender, Race, Citizenship Verified, Marital Status, Adults, Children, Income Source, Total Monthly Income, Office, Advocate, Funds, and Unit
2) Custom Duplication – Uses a list you have built
i) Choose Custom Duplication List
ii) Select a list from the Duplication Lists drop down that appears to the right
iii) To create your own custom list, use the Selective Duplication method described below
3) Selective Duplication
i) Allows you to choose which fields to duplicate (certain required fields are already duplicated)
ii) If you choose this method and click on Duplicate, you will be given an option to save this list as a custom list. An Option #7 will appear that says Save List. Save your list, give it a name, and it will then appear in the Custom Duplication List
b) If you wish to duplicate Case Notes, Eligibility, and/or Family, you have to check these actions
c) If you wish to substitute values, such as problem code, intake worker, or office number, change the values by selecting them from the pull downs. Note: Substitute values works for all 3 methods
