Description

The Home Screen is a Startup Screen that displays information in five boxes. These boxes can be changed by KCW to fit the needs of your office.

Open Cases

Displays open cases for the user who is logged in. If you double-click on a case, it will open the Client’s Intake and you can begin working on it. The Speed Time/Notes, Calendar, and Time buttons allow you to add time, case notes, and calendar events with the minimum number of keystrokes, as discussed above.


Today’s Time

Shows you how much time you have entered into time slips so far for the current day. A user can check and print out their time.


Time Sheet (Generator)

The Time Sheet Generator allows one of four different pay periods to be set (weekly, every two weeks, bi-monthly, and monthly). The resulting printout can be changed to show more or different information, such as leave time. This is also available on the Today screen under the Daily Work Sheet list.

1) First, enter the number of hours per day you work

2) Then select your pay period, Weekly, Every Two Weeks, Bi-Monthly or Monthly

3) Click on the blank and select the Sunday beginning the desired period

4) Last, click on Generate Time Sheet to get a printout of your time sheet that a Supervisor can sign

Highlights in red your calendar events scheduled for the month

1) By clicking on the arrows, you can move backward and forward months and years. If you change the month or the year, make sure you click on Red to see the highlighted calendar events.

2) If you click on a highlighted date, your events scheduled for that date will appear to the right. You can then make changes to the events by putting in notes or marking an event as completed.

3) If you double-click on a case-related calendar event, it will take you to that Client’s Intake or tell you that no case number is available for that event


25 Most Recent Internal Messages

See your most recent Internal Messages. If you double click on a message, it will take you to the Internal Messages screen where messages can be read, sent, or printed

1) Read New Messages tab – This acts like an Inbox where all of your messages can be read

  1. Automatically Check for New Messages must be checked to have that feature work.
  2. Sort By – Allows you to sort your messages by ones you have read, priority, subject, etc.
  3. Count – The number of the messages in your inbox
  4. Buttons at the bottom of this form
    1. Refresh List – Refreshes your messages while checking for new ones
    2. Send to Old Message – Moves the selected message in your inbox to old messages
    3. Delete Message – Will delete a selected message from your list, however, the message will continue to exist.
    4. Reply to All – The Internal Messages system does a reply all instead of a reply. Once the message opens, you can add or remove names
    5. Print – Prints out the selected internal message

2) Read Old Messages tab – Allows you to read the messages that have been moved from your inbox to old messages, which acts like your Trash

  1. Delete Message – Will delete a selected old message from your list
  2. Hide Message – Hides a message from viewing but does not delete it
  3. Print – Prints out the selected old message
  4. Toggle Hidden Messages – Toggles between Old/Hidden messages and Old messages

3) Send a Message – Allows you to send a new internal message

  1. Click on To and a Select Recipients box appears
    1. You can send to a single staff member, multiple staff members, or a group, such as managing attorneys.
      1. Click on people to select or deselect them. Then click the 2. Send Message button to insert them into the email form
      2. Repeat this step on the CC line if desired
      3. Give the message a subject
      4. Type your message in the body area
      5. You can choose a category, such as Case Number, Interview, Callback, Grant, or Project and then reference the item number
      6. Give the message a Priority and type anything you like in the Detail field
      7. Click on Send to send the message to the recipient(s)
    2. You can send to a group by choosing a group from the pull down or creating a new group. To create a new group,
      1. First, select which members you want to put in the group by clicking on their names
      2. Then click on Save Selected People as New Group
      3. You will be prompted to enter a name for the group. Type in the name and hit OK
      4. You will get a prompt that your group has been added
      5. Last, select the group you just created from the pull down. The names will populate and you can now click on 2. Send Message to insert all the names into the email form, then follow the other instructions above to complete the email with a subject, body, etc., and click Send to send the message to all the members of the Selected Group
    3. Once sent, a message will pop up on the recipient’s screen within two minutes if they have Prime open. They can choose to read the message now or later. If that staff member is not logged into Prime, once they log in, the system will prompt them that they have internal messages to read. They can choose to read them now or later.

4) Print Message(s) – Allows you to filter which messages to print by sender, recipient, etc. or further filter messages by dates or messages containing certain words or phrases. Once you enter your filters and click on Search, it will display the found messages in the bottom section. You can clear the search or preview the report to print

5) Buttons at the top of the form

  1. Help – Gives you more information on how to use internal messaging
  2. Open Case – If the internal message is case related, you can select the message and click on Open Case to open the Client Intake record
  3. Minimize – Minimizes this screen and keeps it open while you work
  4. Close – Closes the Internal Messages form

6) Note on Deleting Messages: If you choose to delete a message it is deleted from your list of messages. It is not deleted from any other recipient’s list. It is also not deleted from the case, if the message was case-related.
