Lawyers

The Lawyers record tracks volunteer lawyer information.

Add

To Add a new record, from the Main Menu, choose Add-->PBI-->Lawyers.

Edit

To Edit an existing record, from the Main Menu, choose Search-->PBI-->Lawyers. Use the search screen to find the appropriate entry and open it.

General Entry

Heading

The first section holds:

  1. Atnum -- the Attorney Number
  2. On Panel -- noting whether the attorney is active on the panel; removing the checkmark may remove the attorney from some dropdown lists as they would no longer be on panel
  3. Volunteer Panel -- noting whether the attorney is on the volunteer panel
  4. Referral Panel -- noting whether the attorney is on the referral panel
  5. First/Mid/Last/Ext -- attorney name

Address Information

The second section holds information about the attorney. This section contains the following items:

  1. Firm -- the name of the lawyer's firm
  2. Salutation -- a salutation to use
  3. Title
  4. Address
  5. Gender
  6. Position -- the position held by the person
  7. City
  8. State
  9. Zip code
  10. County
  11. Phone
  12. Fax
  13. Email
    1. Send Email
  14. User
  15. Law Firm -- select from law firms entered
  16. SSN
  17. Reduced Fee Panel -- notation of whether lawyer is on the reduced fee panel
  18. Second Language
  19. Available After -- a date after which the lawyer will again be available to the organization
  20. Date on Bar -- date they were admitted to the bar
  21. Date on Panel -- date they were added to your panel
  22. How Recruited
  23. Bar Number
  24. Normal Hourly Fee
  25. Cases Owed -- how many cases they have promised to provide
  26. Primary Office -- the office primarily responsible for this lawyer
  27. Automatically Generated Entries
    1. Last Activity -- last time entry or case assignment
    2. Last Case -- date last case was assigned
    3. Cases -- cases assigned
  28. Cases in last 12 months -- cases assigned in last 12 months
  29. Ongoing Case -- notation of whether there is currently an ongoing case
  30. Hours -- hours entered for lawyer

Cases

The third section holds information about the cases to which the lawyer has been assigned. You can click on a case number to see the case.

Training

The fourth section holds training and meeting information. This section contains the following items:

  1. Training Info
  2. Special Needs
  3. Client Complaints -- notation of whether the lawyer has had complaints
  4. About -- text regarding what the complaints were
  5. Number of refusals and Dates
  6. Date Left Panel
  7. How to have clients contact them
  8. Where they will meet clients
  9. Where they will meet opposing parties
  10. What types of cases they will handle
  11. What they will speak on
  12. What Panels they are on
  13. What they consult on
  14. Miscellaneous entries for tracking

Notes

The fifth section holds notes.

Press the "Date Notes" button to add the date and staff number, then click in the note box to enter notes.

Use the Lawyers Canned Notes dropdown to select a canned note to enter.

PBI Website Settings

The sixth section holds PBI Website Settings. These settings are used by the lawyer when interacting with the PBI Web Portal. This section contains the following items:

  1. Username -- username to be used by the lawyer when logging in to the PBI Web Portal
  2. Password Question and Password Answer -- for use when resetting their password on the Portal
  3. Password -- the password to be used by the lawyer when logging in to the PBI Web Portal
  4. Last Activity Date -- the last date the lawyer changed information on the portal
  5. Is Approved -- whether approved to use the Portal; remove the checkmark to prevent their logging in
  6. Last Password Changed Date -- the date the password was last changed by the lawyer on the Portal
  7. Is Locked Out -- marked by the Portal when they've attempted (unsuccessfully) to log on to the Portal too many times
  8. Application Name -- name used by the Portal
  9. Operator Stamp and Date Time Stamp -- fields used by the system to indicate whether someone is actively editing the lawyer record

Use of the Form

Expanding/Collapsing Sections

Sections (other than the top section) may be expanded or collapsed to display or hide the information within those sections. This can help with viewing the screen.

To expand a collapsed section, click on its header. To collapse an expanded section, click on its header. Multiple sections can be expanded at the same time.

Context menu

The context menu is accessed by clicking on the Context Menu icon at the top left of the record.

The context menu is shown to the left. The items shown in a context menu will change depending on many factors, including whether the current record is saved.

The context menu has additional items available that relate to the entry, including:

  1. Associated Records
    1. Contacts -- allows you to keep track of contacts with the lawyer, including calls, acceptance or refusal of cases, and other contact you may have with them
    2. Counties -- note the counties the lawyer will accept cases in; this helps when assigning cases in various counties
    3. Subjects -- note the subjects (the problem type of cases) the lawyer will accept; this helps when assigning cases of various types

Save/Stay and Save/Close

The Save/Stay button will save the record and stay in it. This will allow you to continue to edit the record or add associated entries using the Context menu (such as call from caller, and calls to caller).

The Save/Add New button will save the record and then go to a new add screen to allow you to enter a new Lawyer record.

The Save/Close button will save the record and then close to the Main Menu/Home Screen.

If an error is encountered in the save, a message should appear at the top of the form in red notifying you of the problem. You may also receive another warning about errors in the case and asking whether you want to continue on in spite of those errors. Some errors (those shown in red at the top) you cannot avoid.

Relationship to Other Records

Lawyer records may be used in relation to various other records, including (but not limited to) Client PBI Assignment, PBI Time records, Other Services, etc.
