Web:Staff Review Stage
All website entered data is stored in a table called ScreeningX. It is separate and apart from the Eligibility and Clients tables and you need administrative rights to access it. This is to help ensure that you do not inadvertently create a conflict for your organization. Go to Search-->Online Intake to access the ScreeningX screen to review online applications. Note: There are also Review Online Intakes buttons on the Eligibility and Client input screens if you need to review this information from those locations.
The Screening X screen works like a regular search screen. By now you are familiar with the workings of a search screen so we will only review items that are different on this search screen.

- 1) To get a list of those items that are Pending Review, click the Pending button.
- 2) Use the Password Clean button to remove passwords from applications that are more than 60 days old. This will keep the logins fresh and keep people from logging on and seeing the status of older applications.
Opening one of the applications for the first time displays the ScreeningX form.

You will notice that some tabs seem to be missing. The information in those tabs is additional, possibly confidential information that should not be necessary to determine whether you have a conflict
- 1) On 1. Conflict Check, you get to see basic information about the person
- i) The light blue areas contain information entered by the applicant
- ii) The dark blue areas are items that should be completed by staff
- iii) The Staff, Office, and Unit numbers should be entered
- iv) A conflict check can be started using the standard conflict checking system. If you find a conflict exists, the confidential data is erased from the system so there is no possibility of that information going anywhere. If you find no conflict exists, then the additional tabs, 2, 3, and 5 appear for further processing
- 2) Proceed or Reject, the final processing of the application occurs. This is where the application is accepted or rejected.
- i) Tracking whether or not the person was contacted and how is shown first
- ii) You can also decide whether the application is accepted or rejected and the reason
- iii) The current status is used on the website to show the applicant the status of their application
- iv) The application status text will also show up on the website
- v) Use one of the three buttons at the bottom to transfer the information to the rest of the system, according to your program’s procedures
- vi) Applicant Status - Whenever the applicant logs back in for their status, the website will display the status as of that instant.
